How to Edit and Create a Dealer

Steps to Create a Dealer

To create a dealer you will need to be within the Dealers Grid.  Select 'Create' to open up the page enabling you to enter the dealer's information. 

Once you have the page open, all fields marked with an asterisk will need to be populated in order to successfully create the dealer.  Although not all fields are required, it is best practice to provide as much detail within a dealer as possible.

Populating the Fields:

  • Name: The full name of the dealership
  • Manufacturer Dealer Number:  This can be alphanumeric characters.  The identifier you enter for the dealer number is the exact number that must be provided within a registration record otherwise, the registration will not be tied to the proper dealer.
  • Manufacturer Dealer Sub Number:  Use this field when you have multiple locations for the same dealer number.  For Example, You can have Columbia Bikes in Denver and Columbia Bikes in Colorado Springs.  For their sub number you may want to identify the location by using something like DNV for the Denver location or CS for the Colorado Springs location.  You can use numbers as well, like 001 or 002, etc.  However, remember that your registration records must match the exact dealer number/sub number you have created in order to properly assign the dealer to the registration.
  • Dealer Type:  Select Standard Dealer
  • Active For:
    • Both:  Choose this for both Marketing(lead management) and CSI(customer service surveys)
    • Neither:  Not applicable at this time
    • Owners Only:  Choose this for CSI(customer service surveys) 
    • Sales Only:  Choose this for Marketing(lead management) 
  • Address1:  
  • Address2:  Used for Suite or Apt. number, or PO Box if Address1 is populated with a physical address
  • City:  City
  • State:  State
  • PostalCode:  Postal code, ensuring you are using correct format for US and Canadian codes
  • Country:  Country
  • Brands:  If the manufacturer has multiple brands and the dealer only sells specific brands, you can select all that apply
  • Geographical Parent:  If you have regions or territories established you will tie the dealer to the correct region through the geo parent.
  • Contact:  Name of the main contact at the dealer
  • Phone:  Telephone number
  • Fax:  Fax number
  • Email:  Email address of the contact provided or main email address within dealership if available
  • Website URL:  website address
  • Active:  If this is an active dealer you will populate with YES, if not, then NO
  • Language:  Select the primary language of the dealership location
  • Toll Free:  If the dealership location has a toll free number, populate this field

Saving Changes for Created Dealer

Once all fields are populated,  you will want to be sure to save your changes.  A box may pop up to remind you to set contacts up for your new dealer ensuring they are receiving leads or CSI email notifications.  It is important that at least one person within a dealership is set up to receive notifications.  We have more detailed information about how to create dealer contacts and that can be found here and we have additional details about understanding your notifications/contacts that can be found here.

NOTE:  Only AVALA Admin and Corporate account holders have the ability to create a dealer. 


Steps to Edit a Dealer

That completes the creation of a dealer.  Now, let's move on to editing an existing dealer.  If changes occur, you notice an error within the dealer information or you would like to add some additional details within the dealer, you can edit the dealer.

This can be done within the Dealers Grid.  You will want to search, using the filters on your left to find the dealer you wish to edit.

Then, click on that record and select 'Edit'.  

You are now able to edit all fields that appear on this page.  

Saving Changes for your Edit

Once finished, you will need to be sure to 'Save Changes' and you are done and have successfully edited your dealer.

NOTE:  AVALA Admin and Corporate account holders have the ability to edit a dealer.  In some cases, a Region or Brand level account holder may edit, but a Dealer level account does not have permissions to edit a dealer.
